Facility management in banking
object types recorded in the system
Brief
Our long-standing client in the banking sector needed an efficient way to manage buildings and assets. The bank required a clear register of equipment, buildings and manufacturers, reliable scheduling of recurring activities and inspections, and a fast way for employees to report requests and urgent incidents. The goal was to build on the existing Jira platform, centralise data, limit additional licence costs and provide a familiar, user-friendly environment.
Solution
We designed and implemented a solution on Atlassian Jira Service Management, extended with Assets for detailed asset records. Service requests were linked to specific objects and buildings, recurring maintenance and inspections were automated, and employees received an intuitive customer portal for reporting faults. The delivery also included a one-off migration of existing records through CSV import.

Client challenges
- Centralise asset management in one coherent system.
- Automate tasks for recurring maintenance, inspections and equipment checks.
- Make incident reporting easy across offices, warehouses and branches.
- Use the existing Jira platform and minimise additional licence costs.
- Prepare an open architecture for future integration with external service providers.

Project solution
The bank gained digital control over its assets and related processes. The system records more than 70 object types, from locations, branches and offices to air-conditioning units and lifts. As an inspection deadline approaches, Jira automatically creates a task for the responsible person. Employees can report a fault at any time and the system immediately associates it with the right object and location.
The entire process, from reporting an emergency to scheduling a regular equipment check, now runs in one place. The facilities team responds faster, plans capacity more effectively and maintains a continuous view of all managed assets.
